Job Description

Reception Management:

• Greet and welcome visitors as they arrive at the office.
• Direct visitors to the appropriate person and office.
• Answer, screen, and forward incoming phone calls.

2. Customer Service:

• Provide basic and accurate information in-person and via phone/email.
• Handle customer inquiries and complaints in a courteous manner.
• Maintain a professional and friendly demeanor.

3. Administrative Support:

• Receive, sort, and distribute daily mail/deliveries.
• Maintain office security by following safety procedures and controlling access via the reception desk.
• Order front office supplies and keep an inventory of stock.

4. Scheduling and Coordination:

• Schedule and confirm appointments and meetings.
• Coordinate with internal staff for meetings and visitor arrangements.
• Manage conference room bookings.

5. Record Keeping:

• Update appointment calendars and schedule meetings/appointments.
• Keep records of visitor logs and other front office activities.
• Assist with clerical duties such as filing, photocopying, and faxing.

6. Office Maintenance:

• Ensure the front office area is tidy and presentable.
• Monitor office supplies and place orders when necessary.
• Oversee maintenance of office equipment (e.g., printers, fax machines).

Roles and Responsibilities for Meeting Coordinator

1. Meeting Planning:

• Schedule and organize meetings, ensuring all participants are informed.
• Prepare and distribute meeting agendas and materials in advance.
• Arrange meeting logistics, including venue, equipment, and refreshments.

2. Coordination and Communication:

• Act as a liaison between participants, providing necessary information.
• Send out meeting invitations and track responses.
• Ensure effective communication before, during, and after meetings.

3. Meeting Support:

• Set up and test audio-visual equipment.
• Greet and assist attendees upon arrival.
• Provide technical support during meetings as needed.

4. Documentation:

• Take detailed meeting minutes and distribute them to participants.
• Track action items and follow up on assigned tasks.
• Maintain records of meetings and related documents.

Job Types: Full-time, Fresher, Permanent

Pay: ?15,000.00 - ?20,000.00 per month
