Job Description

Position - Administrator

Reports to - Director

Job purpose- Smooth functioning of Hospital & quality care of the patients who are visiting to the hospital on sustainable basis.

Key accountability-

1. Comprehensive administrative and managerial support to facilitate functioning of all the hospital departments viz, OPD, IPD, Medical Records, Reception, Patient Counseling, Operation Theatre, House Keeping, Stores, Accounts etc.

2.Maintained effective liaison with Govt., Non-Govt. agencies for business inflows. Driven follow ups of past cases through the service team. Systematized hospital documentation and record keeping process.

Responisbilities-

A. Planningand Budgeting

• Implementation of Strategic planning of the hospital.

•Networking with NGOs and Collaboration for Project implementation.

• Maintenance of Health Information Management Systems (HIMS), collection and maintenance of hospital's data.

•Plan and implementation for Institute's Publicity for promotion, accreditations and growth of Institution.

•Plan and execute accreditation process such as NABH etc.

B. Capacity Building-

• Identify training needs of staff of hospital and liaise with strategic partners such as LVPEI etc. to ensure provision of required training.

•Management of entire range of HR activities to build a strong and committed manpower.

• Observance of hospital rules and regulations by all employees.

•Training & Capacity Building of the staff of the hospital.

C. Monitoring & Reporting

•Prepare implementation and monitoring plans for all departments as per strategic plan of the hospital and monitor the progress periodically.

•Daily rounds of the Institution.

• Regular Meetings, Minutes, Agenda with all departments.

• Smooth functioning of OPD, Reception, Counseling, Admission, Ward, Optical shop & Pharmacy, EMS and reporting mechanism.

• Monitoring of daily reports of the Institution & performance of the Optical shop.

• Cross check of all bills of Reception/Counseling/ Admission/ Optical & Pharmacy.

• Recovery of dues by general patients, public sectors & TPA.

• Surprise audit in all patient care departments.

• Recovery of dues by general patients, public sectors & TPA.

• VIP movements in the Hospital who come for treatment as a patient.

• Ensure that arrangements of paying and non-paying patients in the ward during camps like timely Admission, Operation & Discharge.

• Arrangement of emergency duties for holidays & Sundays, ensure to check regular duties also.

• Control on consumption of water, electricity other resources.

• All arrangements of accommodation for guest (Trainees, Doctors, & other Guests).

• All Government & Public sector empanelment & timely renewals.

• Planning & Execution of new tie-ups with all public sectors.

• Maintaining all MoU's.

• All NOC & Licenses on time.

• OT: Smooth functioning of OT

• Security: Smooth functioning of security department

• Housekeeping: Smooth functioning of housekeeping department.

• Growth of the Institute: Planning for good delivery for Eye care services.

•Innovation & Implementation of new things which are important for the growth of the Institution.

•Managing of Functions: Annual Function, CME, Conference & others.

•While in emergency situations you should be available in the Hospital.

•Ensure all information with regards to progress and development of the hospitals is captured in the appropriate formats and shared with the management as per agreed timelines

D. Communication-

• Support development of communication material for branding of the hospital

• Write proposal and reports for donors

• Maintenance of Health Information Management Systems (HIMS), collection and maintenance of hospital's data

Job Type: Full-time

Pay: ?336,000.00 - ?600,000.00 per year
