:
We are seeking a highly organized and proactive Personal Assistant to support our Managing Director. This role requires a dynamic individual who can effectively coordinate tasks, manage communication, and handle administrative, HR, and payroll responsibilities with utmost professionalism.
Key Responsibilities:
• Task Coordination: Act as the primary point of contact between the Managing Director and employees, ensuring smooth communication and efficient execution of tasks.
• Administrative Support: Manage day-to-day administrative duties, including scheduling meetings, preparing reports, and maintaining records.
• HR Assistance:
• Manage the hiring process by sourcing candidates, shortlisting resumes, and scheduling interviews.
• Call candidates for interviews and ensure timely follow-ups.
• Be proactive in identifying and attracting top talent to meet the company's needs.
• Assist in onboarding new hires and maintaining HR documentation.
• Payroll and Attendance Management:
• Oversee payroll-related tasks, including tracking employee attendance and leave.
• Verify holiday schedules and ensure accurate record-keeping for payroll processing.
• Assist in addressing payroll-related queries and discrepancies.
• Paperwork Management: Handle documentation and paperwork as required, ensuring accuracy and timely completion.
• Meeting Preparation: Organize and prepare materials for meetings, including taking minutes and following up on action items.
• Personal Tasks: Assist the Managing Director with personal errands and other miscellaneous tasks as needed.
• Problem Solving: Proactively identify issues and provide solutions to ensure the Managing Director's time is maximized.
Requirements:
• Language Proficiency: Exceptional command of English, both written and verbal.
• Experience: Prior experience in a similar role is preferred.
• Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant tools.
• Organizational Skills: Strong multitasking abilities and attention to detail.
• Professionalism: Excellent interpersonal skills and a high level of discretion in handling confidential matters.
• Adaptability: Ability to work under pressure and adapt to changing priorities.
