The Administrative Officer is responsible for providing logistical and travel support, support events, management of inventory, and maintenance of office material, files and documents. This position will be based in New Delhi, India
Responsibilities Travel
Coordinate team member travel \xe2\x80\x93 Air / road travel, ground transport, hotel accommodation in accordance with Field Operations Manual
Events
Handle logistical arrangements for meetings and workshops such as venue, travel and transport, accommodation of participants, AV equipment and supplies for events
Support pre-event preparations such as preparation of training materials, request for workshop supplies, arrangement of travel and lodging accommodation of participants, request for cash advance, as applicable and necessary.
Vehicle Management
Efficient management of the regular monthly rented cars for SAREP
Managing bookings for extra vehicles as and when required.
Office Equipment
Maintain an up-to-date inventory of project equipment
Maintain record of asset issuance and return
Handle issuance and taking over of inventory at the time of employee joining or leaving
Office Supplies
Order office supplies as and when required
Maintain a record of office supplies issued and balance available
Postage / Courier and Shipping
Assist in maintaining a database of all incoming and outgoing communications; handle shipping/mailing/delivery of outgoing communications.
Work with vendors and shipping agents, as needed, to schedule shipment and deliveries.
Others
Manage telephone connections taken with service provider and trouble shoot as required
Establish and maintain an efficient filing system of project documents specific to the project according to the established filing system of the Project.
Coordinate the timely processing and payment of all staff travel claims, vendor and supplier payments, and other transactions with the Finance Officer.
Assist the project and staff in organizing official business appointments.
Perform other tasks as may be assigned by the supervisor.

Qualifications
High school diploma or vocational training and 10 years of experience.
Previous experience in office assistant or admin assistant role preferred.
Excellent knowledge of MS Word, Outlook, PowerPoint, Excel,
Ability to multi-task.
Ability to work well with others
Ability to listen and communicate well both verbally and in writing.
Ability to work independently.
