• Greet and welcome Visitors/guests as they arrive at office
• Answer, Screen and forward incoming phone calls and maintain records of same.
• Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms)
• Maintain office security by following safety procedures and controlling access
• Order office supplies and keep inventory of stock.
• Responsible for upkeep of Office Infrastructure (phone, AC, etc)
• Vendor Management related to admin/HR
• Checking all vouchers related to office & projects
• Arrange internal and external transportation bookings
• Provide clerical and administrative support to Human Resource Executive
• Complete new Joinee documentation (i.e. biometric enrolment, ID cards, etc)
• Compile and update employee records (hard and soft copies)
• Checking & updating attendance of site Employees.
• Assist in payroll preparation by providing relevant data (absence, leaves, etc).
• Co-ordinate communication with candidates and schedule Interviews.
• Preparation of HR related documents (File Management)
• Assist in checking of compliances ESIC/PF & co-ordination with consultant.
• Assistance in arranging in events for staff & taking care of employee related issues.
