###### Role and Responsibilities:


Position : Administrative Assistant to Executive Management Reports to: Chief Operating Officer External contacts: Clients, Partners and Associates The Administrative Assistant to Executive Management, must be aware of the organisations aims and objectives and work to help the Executive Management, make the best use of his time by assisting in various projects as well as dealing with all secretarial and administrative tasks. The Administrative Assistant will be the first point of contact with both internal and external people. Discretion and confidentiality are essential attributes to be successful at this role. Main Tasks: o Diary management - outlook experience essential o Booking meetings/appointments o Business travel - booking flights, hotels, car hire, valet parking etc o Organising visas o Arranging visa invitation letters to overseas visitors o Maintaining Executive Management's travel log o Maintaining Executive Management's planner o Reconciling monthly expenses o Fielding calls for Executive Management & taking messages o Organising food/refreshments for business lunches o Inputting and updating contact details into Outlook o Carrying out research for particular projects as requested by Executive Management o Organising corporate & staff events o Assisting with the organisation of exhibitions and possibly attending if required o Taking minutes at various management meetings & typing up minutes o Purchasing various items for Executive Management as and when required o Paying personal bills for Executive Management o Organising medical/dental appointments o Organising Executive Management's personal/family cars - insurance, servicing, repairs etc. o Assisting Executive Management with personal holiday/events o Ad hoc paperwork & duties


###### Qualifications and Education Requirements:


Technical & essential Skills o Knowledge and experience with complex travel and flight itineraries, particularly international travel/hotel bookings o Experience of working for Directors/Senior Management o Excellent Diary Management with the ability to pre-empt and look ahead at all times o Essential experience in Microsoft Office- Outlook/Word/Excel/Power point

Interpersonal Skills o Ability to multitask and experience of dealing with a demanding role and high-level workload o Ability to prioritise work and manage time effectively and be proactive o Excellent Organisational skills o Communication skills - the ability to communicate well at all levels o Demonstrate a professional manner at all times and possess the ability to remain calm under pressure o Self-motivated o Ability to maintain a high level of discretion
