As an Administrative Assistant, you will support our operations by performing various administrative and clerical tasks. This position reports to the Office Manager and will require strong organizational and communication skills to succeed.Qualifications and Skills

  • Proficiency in Microsoft Office Suite (Mandatory skill) for efficient document creation and editing tasks.
  • Hands-on experience with Google Workspace to facilitate email communication, document sharing, and collaboration.
  • Basic knowledge of QuickBooks for managing invoices, tracking expenses, and financial reporting.
  • Skillful in calendar management, scheduling meetings, and maintaining an organized calendar for team members.
  • Attention to detail for accurate data entry and record-keeping, ensuring data integrity and confidentiality.
  • Experience in travel coordination for making travel arrangements and managing itineraries for team members.
  • Familiarity with Document Management Systems to organize, store, and retrieve digital documents effectively.
  • Understanding of Customer Relationship Management (CRM) Software for maintaining customer databases and fostering client relationships.
Roles and Responsibilities
  • Provide administrative support to ensure efficient operation of the office by handling various clerical and supportive tasks.
  • Manage and organize office tasks such as scheduling meetings, appointments, and prioritizing tasks to meet deadlines.
  • Coordinate travel arrangements for employees by booking flights, accommodations, and handling itinerary details.
  • Maintain and update office database with accurate and detailed client information for easy retrieval and reference.
  • Assist in the preparation of regularly scheduled reports and professional presentations for internal and client use.
  • Organize and facilitate meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
  • Serve as a point of contact for office communication, managing correspondence and distributing messages to appropriate parties.
  • Support the finance team by performing data entry tasks related to billing, invoices, and managing receipts and financial documents.
