As an Administrative Assistant , you will play a crucial role in ensuring the smooth operation of our office and providing high-level administrative support to our executives and management team. You will be responsible for managing a variety of tasks, coordinating schedules, and handling confidential information with discretion and professionalism.

RESPONSIBILITES

• Executive Support: Provide comprehensive administrative support to senior executives, including managing calendars, scheduling meetings, and making travel arrangements.
• Communication Management: Serve as the primary point of contact for internal and external communications, including screening phone calls, responding to emails, and managing correspondence on behalf of executives.
• Document Management: Create, edit, and format documents, presentations, and reports as needed. Maintain organized filing systems both electronically and in hard copy.
• Meeting Coordination: Coordinate and prepare materials for meetings, conferences, and special events. Record meeting minutes and follow up on action items as necessary.
• Office Operations: Oversee day-to-day office operations, including managing office supplies, equipment maintenance, and vendor relationships. Act as a liaison between the office and building management.
• Project Assistance: Assist with various projects and initiatives as assigned, including research, data analysis, and presentation preparation.
• Team Support: Collaborate with other administrative staff members to ensure seamless support across the organization. Provide backup support during absences and busy periods.
• Assist with email management - respond or direct email appropriately
• Auditing technician work orders for accuracy and completion
• Auditing completed jobs for customer satisfaction
• Update spreadsheets for Scheduling, Sales and Operations
• Calling clients and processing payments
• Help organize items for review and ensure timelines are met
• Performing additional functions as directed

Requirements

• Bachelor's degree or 1-2 years of knowledge and work experience in similar role.
• Proven experience as an administrative assistant or executive assistant, preferably in a senior support role.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
• Excellent organizational and time management skills with the ability to prioritize tasks and meet deadlines.
• Strong attention to detail and accuracy, especially when handling sensitive information.
• Exceptional written and verbal communication skills.
• Discretion and professionalism when dealing with confidential information.
• Ability to work independently with minimal supervision and as part of a team.
• Flexibility and adaptability to changing priorities and work demands.
• Excellent customer service skills
• Attention to detail, high aptitude for problem solving
• Self-motivated and able to thrive in a results-driven environment
• Must be able to work independently with little or no supervision, be exceedingly well organized and flexible
