Job Description

Looking female candidate only.

Administration & Facility Management ; Office Administration: Maintain office equipment and arrange for repairs when needed. o Ensure the smooth functioning of office operations by coordinating administrative support services.

Schedule and coordinate meetings, appointments,

Look after day to day administration of work including facility management, canteen, Transport, Co Vehicle maintenance, Travel desk etc.

Optimum utilization of resources in admin, security, housekeeping for maintaining facility as per global expectation

Processing of bills with accuracy with necessary documentation

Event Coordination: o Assist in planning and coordinating company events, meetings, and conferences. o Arrange logistics such as venue bookings, catering, and audiovisual equipment.

Support to Management: o Assist senior management with administrative tasks as assigned. o Prepare presentations, reports, and other documents for management review.

Minute every internal meeting with relevant action points and follow up for actions.

Vendor Management

1. Store Management

Maintaining Stationary Register.

Manage office supplies inventory and place orders as necessary.

Material Inward: taking old stock count and making necessary entries in register.

Day to day store management activities like maintaining opening and closing stock, Issuing stationary material and checking Biscuits stock etc

2. Uniform Management

Maintaining Employee Uniform Register.

Responsible for Quartely stock check and Order for next quarter.

All Purchase responsibilities like issuing PO & Vendor coordination.

Issuing the company staff uniform as per due date.

3. Vendor Management

Co-ordinating and managing existing vendors to ensure timely order, delivery and payment.

New Vendor development

4. House-Keeping

Daily check for all housekeeping activities for Unit 1

Maintaining stock of house keeping material like Bisleri, toilet rolls, tissue paper, hand wash, cleaning material etc.

Weekly check for all housekeeping activities for all other Units.

Maintaining register of house keeping material.

Forthnightly meeting with all housekeeping staff and report to Management.

Checking drinking water filters and planning maintenance as per schedule.

Responsible for ensuring that pest control measures are running as per schedule.

5. Safety & Security

Checking CCTV cameras and oversee their maintenance.

Maintaining the First-Aid kit

Monthly assessment of all inspection, Testing and maintenance records for Fire Extinguishers.

6. Guest Management

All Guest / Visitor management activities including but not limited to Hotel Booking, Airport pick up and drop, transport booking & management, Food arrangement, Guest welcome, goodie bag etc.

7. Event Co-ordination:

Assist in planning and coordinating company events, meetings, and conferences as necessary.

Arrange logistics such as venue bookings, catering, and audiovisual equipment.

8. Tea Management:

Maintain record in Tea Register.

9. Company Vehicle Management:

Ensure timely service and maintenance of all company vehicles.

Timely renewal of all company vehicle documents like insurance etc

10. Management Support:

Assist senior management with administrative tasks as assigned.

Prepare presentations, reports, and other documents for management review as directed.

Minute internal meetings with relevant action points and follow up for actions as needed.

Job Type: Full-time

Pay: ?12,000.00 - ?22,000.00 per month
