Aambra Foundation is a Government of India registered non Profit Organization. It has been actively engaged in empowering women by skill development, knowledge building, social protection and livelihood generation. We are seeking a dynamic and highly organized Administrative Assistant to join our team. Responsibilities: Accounts Administration:
  • Assist in maintaining financial records including invoices, bills, and receipts.
  • Perform data entry tasks to record financial transactions accurately.
  • Assist in preparing financial reports and summaries for management review.
  • Coordinate with the finance team to ensure compliance with accounting procedures.
Administrative Support:
  • Provide administrative support to various departments within the NGO.
  • Manage incoming and outgoing correspondence, including emails and phone calls.
  • Draft and format professional emails, letters, and other documents as required.
  • Organize and maintain physical and digital filing systems for efficient record-keeping.
Meeting Coordination:
  • Schedule and coordinate meetings, appointments, and events for staff members.
  • Prepare meeting agendas, take minutes, and distribute follow-up action items.
  • Arrange logistics for meetings including room bookings and equipment setup.
Documentation and Reporting:
  • Prepare and distribute internal memos, reports, and presentations as needed.
  • Assist in compiling data and information for project reports and grant proposals.
  • Ensure accuracy and completeness of documentation, maintaining confidentiality where necessary.
Team Collaboration:
  • Collaborate with colleagues to support organizational goals and initiatives.
  • Serve as a liaison between different departments, facilitating communication and coordination.
Skills and Qualifications:
  • Bachelor\'s degree in Commerce, Business Administration, or related field.
  • Previous experience in administrative roles, preferably in an NGO setting.
  • Strong background in accounts administration with knowledge of basic accounting principles.
  • Excellent written and verbal communication skills in English.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to prioritize tasks, manage time efficiently, and meet deadlines.
  • Attention to detail and accuracy in data entry and documentation.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
