Office Management: Oversee and coordinate office activities to ensure operational efficiency. Manage office supplies, equipment, and inventory; ensure supplies are restocked and functional. Organize and maintain filing systems (physical and digital) and ensure accurate record-keeping. 2. Communication and Correspondence: Handle incoming and outgoing communications, including emails, phone calls, and mail. Draft, edit, and distribute correspondence, reports, and other documents as needed. Act as the first point of contact for visitors and callers, providing excellent customer service. 3. Human Resources Support: Assist in recruitment by posting job ads, screening applications, and coordinating interviews. Support the onboarding process for new hires, including paperwork and office setup. Help maintain employee records and update information in the HR system. 4. Financial Administration: Process invoices, expenses, and reimbursements, and assist with budget tracking. Maintain records of office expenses and report on variances from the budget. Liaise with the finance department for smooth accounting and payroll functions. 5. Scheduling and Event Coordination: Arrange appointments, meetings, and company events. Coordinate travel arrangements, including booking flights, accommodations, and transport. Prepare meeting materials and take minutes during meetings when needed. 6. Policy and Procedure Compliance: Ensure adherence to organizational policies and procedures. Assist with policy development and updates as needed. Monitor and support adherence to health, safety, and security protocols within the office.
