Administrative Executive - Purchase & Commercial (Real Estate)
Job Overview:
The Administrative Executive for Purchase & Commercial operations will be responsible for supporting the real estate company's procurement processes and ensuring smooth commercial activities. This role requires collaboration with vendors, contractors, and internal departments to manage the purchase of materials and services while maintaining compliance with commercial policies and procedures.
Key Responsibilities:
• Procurement & Vendor Management:
• Assist in sourcing and selecting suppliers, contractors, and service providers for various real estate projects.
• Manage vendor relationships, track performance, and ensure compliance with contractual terms.
• Review and process purchase orders, ensuring timely delivery of materials and services.
• Coordinate with suppliers for quotations, price negotiations, and terms of payment.
• Commercial Operations:
• Support the legal and commercial teams in managing contracts, agreements, and leases.
• Maintain accurate records of commercial transactions, including rent, lease agreements, and property documents.
• Assist with the preparation of commercial documents, tender submissions, and negotiation summaries.
• Ensure compliance with all regulatory requirements regarding purchases and commercial transactions.
• Documentation & Reporting:
• Maintain and update all records related to procurement, including purchase orders, invoices, contracts, and vendor agreements.
• Prepare and present reports on procurement activities, expenditure, and vendor performance.
• Assist in managing budgets, monitoring expenses, and reporting any variances.
• Inventory & Asset Management:
• Maintain an updated inventory of materials and supplies.
• Coordinate with project teams to ensure all required resources are available and accounted for.
• Oversee the purchase and tracking of office equipment, project materials, and other resources.
• Coordination with Internal Departments:
• Collaborate with the finance department for timely payment processing and resolving invoicing discrepancies.
• Work closely with project managers to ensure project-specific procurement needs are met.
• Act as a liaison between legal, finance, and other departments for any commercial or purchasing concerns.
• Compliance & Regulatory Adherence:
• Ensure all procurement processes comply with internal policies and external regulatory requirements.
• Manage audit-related documentation and support during internal and external audits.
• Stay updated with changes in commercial laws and regulations affecting real estate transactions.
Skills & Qualifications:
• Bachelor's degree in Business Administration, Commerce, or a related field.
• 5 years of experience in procurement or commercial operations, preferably in the real estate industry.
• Strong knowledge of procurement processes, contract management, and vendor negotiations.
• Familiarity with real estate regulations, contracts, and lease agreements.
• Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with procurement software.
• Excellent organizational, communication, and multitasking skills.
• Ability to work independently and manage multiple tasks simultaneously.
Preferred:
• Prior experience in the real estate sector or construction industry.
• Experience with ERP systems for procurement and inventory management.
