We are looking for a highly organized and proactive Administrative Assistant to provide support in managing daily office operations, coordinating activities, and ensuring smooth administrative processes. The ideal candidate will possess a strong understanding of financial processes, excellent communication skills, and the ability to manage complex administrative tasks efficiently.
Key Responsibilities:
Executive Support:
• Provide high-level administrative support to upper management, including scheduling meetings, managing calendars, and making travel arrangements.
• Handle confidential information and maintain discretion at all times.
Document Management:
• Prepare, format, and proofread correspondence, reports, and other documents.
• Maintain and update filing systems (both electronic and physical).
• Ensure all company records and documents are organized, accurate, and compliant with regulations.
Data Entry and Record Keeping:
• Enter and maintain data in internal systems, ensuring accuracy and confidentiality.
• Prepare and distribute reports, memos, and other documents as required.
• Maintain databases and perform data retrieval when needed.
Scheduling and Coordination:
• Schedule meetings and coordinate calendars for senior management or team members.
• Coordinate internal and external communication related to scheduled events or meetings.
• Support the preparation of meeting agendas, take meeting minutes, and ensure follow-up on action items.
Office Management:
• Assist in the preparation and execution of office policies and procedures.
• Coordinate with vendors and service providers to maintain office facilities and supplies.
• Maintain office supplies inventory and place orders when necessary.
Financial and Billing Support:
• Process invoices, track expenses, and maintain financial records.
• Support budget preparation and monitoring, ensuring all administrative costs are in line with company expectations.
Team Support:
• Provide administrative support to management and other staff members as needed.
• Assist with onboarding new employees and provide them with necessary office supplies and resources.
• Collaborate with other departments to support cross-functional needs.
Qualifications & Skills:
• MBA in Finance/HR
• At least 1-2 years of experience in an administrative or office support role.
• Previous experience with scheduling, office management, and data entry is a plus.
Skills:
• Strong organizational skills with the ability to multitask effectively.
• Excellent communication skills, both written and verbal.
• Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
• Basic knowledge of office equipment (e.g., printers, fax machines, copiers).
• Ability to maintain confidentiality and handle sensitive information.
• Strong attention to detail and accuracy.
Additional Requirements:
• Ability to work independently and collaboratively in a team setting.
• Flexibility and adaptability to changing work environments and priorities.
• Strong time-management skills and the ability to prioritize tasks.
Desirable:
