Job Description

:

We are seeking a proactive and organized Administration Assistant to join our growing export-import business. The ideal candidate will be responsible for managing all office administrative tasks, ensuring smooth day-to-day operations, and supporting the team in all aspects of the business.

Key Responsibilities:

- Office Administration:

- Manage daily office activities, including handling phone calls, emails, and correspondence.

- Oversee and maintain office supplies, equipment, and inventory.

- Organize and file business documents, including shipping, trade, and compliance paperwork.

- Schedule and coordinate meetings, appointments, and travel arrangements for team members.

- Export-Import Documentation:

- Assist in the preparation of export and import documentation such as invoices, packing lists, bills of lading, certificates of origin, and other related documents.

- Ensure timely submission of documents to customs and relevant authorities.

- Liaise with freight forwarders, customs agents, and other logistics partners to ensure smooth shipment processes.

- Coordination with Vendors and Clients:

- Communicate with suppliers and buyers regarding shipments, orders, and delivery timelines.

- Track and manage incoming and outgoing shipments, ensuring on-time delivery.

- Provide administrative support in client communications and follow-ups.

- Data Management:

- Maintain accurate records of shipments, invoices, and payments.

- Assist in updating and maintaining the company's CRM and trade database.

- Prepare reports on business activities, shipment statuses, and office performance.

- Compliance and Regulations:

- Stay updated with changes in export-import laws and regulations.

- Ensure all documentation complies with international trade laws and company policies.

- General Administrative Support:

- Provide support to other team members as needed.

- Assist with general HR duties such as onboarding new employees and maintaining employee records.

- Handle ad-hoc projects related to the company's administrative functions.

Skills & Qualifications:

- Proven experience as an administrative assistant, office administrator, or in a similar role.

- Knowledge of export-import procedures and documentation is a plus.

- Strong organizational and time-management skills with attention to detail.

- Excellent communication skills, both written and verbal.

- Proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.

- Ability to work independently and as part of a team.

- Problem-solving mindset with the ability to multitask and prioritize work.

- Experience with CRM systems or accounting software is desirable.

Education & Experience:

- Bachelor's degree in Business Administration, Commerce, or related field is preferred.

- 2+ years of experience in administrative roles, preferably within an export-import environment.

Job Type: Full-time

Pay: ?15,000.00 - ?20,000.00 per month
