Job Description

We are seeking a highly organized and detail-oriented Administration Executive to provide comprehensive administrative support across various departments. The ideal candidate will be proficient in managing office operations, handling correspondence, scheduling meetings, and assisting with general office tasks to ensure smooth day-to-day activities.

• Office Management:
• Oversee day-to-day office operations and ensure a smooth and efficient working environment.
• Maintain office supplies and manage inventory, ordering as necessary.
• Liaise with vendors and service providers for office-related needs (e.g., maintenance, IT support, etc.).
• Administrative Support:
• Provide general administrative support, including data entry, filing, and document preparation.
• Handle incoming phone calls, emails, and other correspondence, ensuring timely and professional responses.
• Organize and maintain both physical and digital filing systems.
• Scheduling & Coordination:
• Manage calendars and schedule appointments for executives and team members.
• Coordinate meetings, events, and conferences, ensuring all logistical details are arranged.
• Prepare agendas, take minutes during meetings, and track follow-up actions.
• Communication & Reporting:
• Draft and proofread business correspondence, memos, and reports.
• Prepare presentations and reports as needed by senior management.
• Assist in preparing and processing internal communications and company announcements.
• Financial Administration:
• Assist with basic accounting tasks, such as processing invoices, tracking expenses, and managing petty cash.
• Support the finance department with administrative duties related to budgeting and financial reporting.
• Human Resources Support:
• Assist HR with onboarding processes, employee records, and other HR-related tasks.
• Help with recruitment activities, including posting job vacancies and scheduling interviews.
• Compliance & Documentation:
• Ensure compliance with company policies and procedures in all administrative tasks.
• Maintain up-to-date records and ensure documentation is properly filed and accessible.
• Other Duties:
• Assist in special projects and other tasks as assigned by management.
• Ensure the office environment is well-organized and meet health and safety standards.

Qualifications:

• Education:
• Bachelor's degree in Business Administration, Management, or related field (or equivalent experience).
