Key Responsibilities:
Administrative Duties:
• Office Management: Oversee general office operations, including maintaining office supplies, coordinating repairs, and ensuring a clean and organized work environment.
• Document Management: Maintain and update employee records, files, and other important company documents (both electronic and paper).
• Correspondence Handling: Handle incoming calls, emails, and general inquiries, ensuring appropriate communication and response in a timely manner.
• Meeting & Travel Coordination: Schedule meetings, manage calendars, and coordinate travel arrangements for staff as required.
• Health & Safety Compliance: Ensure that office safety standards are followed and assist in preparing for audits or inspections.
• Support for HR Team: Assist with HR-related functions such as recruitment, on boarding, training coordination, and employee engagement activities.
Payroll Administration:
• Payroll Processing: Administer accurate and timely payroll processing, ensuring all employees are paid on time and in accordance with company policies.
• Timekeeping: Monitor attendance, leaves, overtime, and other payroll-related data, ensuring accurate records and calculations.
• Tax & Compliance: Ensure compliance with relevant labor laws, tax requirements, and company policies. Deduct and remit appropriate taxes and other deductions.
• Salary Adjustments: Process salary changes, bonuses, commissions, and other adjustments accurately and in a timely manner.
• Payroll Reports: Generate and submit payroll reports to the finance department, and assist with financial audits or queries.
• Employee Benefits: Assist with benefits administration such as medical insurance, retirement plans, and other employee-related programs.
• Problem Resolution: Address any payroll discrepancies or employee queries regarding salary, deductions, and benefits, ensuring quick resolution.
Key Skills & Qualifications:
• Education: Intermediate/Bachelor's degree in Human Resources, Business Administration, Accounting, or a related field.
• Experience: Minimum 2-3 years of experience in administrative roles with exposure to payroll functions.
• Technical Skills: Familiarity with payroll software (e.g., ADP, QuickBooks, or similar tools) and proficiency in MS Office (Excel, Word, PowerPoint).
• Knowledge of Labour Laws: Strong understanding of labour laws, tax regulations, and employment standards.
• Attention to Detail: High level of accuracy and attention to detail, especially in processing payroll and maintaining confidential records.
• Communication Skills: Excellent verbal and written communication skills to interact with employees, management, and external stakeholders.
• Organizational Skills: Strong multitasking, time management, and organizational skills to handle various administrative and payroll tasks simultaneously.
Confidentiality: Ability to handle sensitive information with discretion and maintain confidentiality at all times.
