Job Description


ADMIN OFFICERJob brief -The role of an Administrator is to organize our company's day-to-day operations. The administrator's overall job will be to provide clerical support to our managers and employees and coordinate all daily administrative activities. The Administrator should be highly organized and able to multitask with ease. The Administrator's main tasks include managing office equipment, booking meetings and events, arranging travel, and vendor management. Candidate should have experience as an Office Administrator, Secretary, or relevant administrative role. He/she should also be familiar with office software (e.g. MS Office), including word processors, spreadsheets, and presentations. Ultimately, a successful Administrator should be able to ensure our office procedures run smoothly.Responsibilities -

  • Book meetings and schedule events - Schedule internal and external meetings. Organize meeting rooms, food & beverages before meetings.
  • Make travel arrangements - Business trips scheduling for the team. Preparing itineraries and managing bookings (flights & accommodation) for traveling team members including keeping visa requirements.
  • Organizing events and activities - Organize, plan, and execute the office events, offsites, and meetings.
  • Order office stationery and supplies - Manage pantry/office stationery supplies and maintain overall office appearance as a normal practice.
  • Submit expense reports - Collation of expense claims, manage expense report coordination, and submission to the accounting team in a timely manner.
  • Vendor Management - Onboarding a new vendor, registration of new vendors in the systems, maintaining vendor databases, and keeping records of vendor invoices and other documents.
  • Maintain employee data (physical and digital) - Prepare employee database, maintain all employee documents, and leave records.
  • Distribute incoming and outgoing mail.
  • Prepare regular reports and presentations.
  • Handle queries from managers and employees
  • Update office policies and ensure compliance with them
Requirements and skills -
  • Fluent in spoken and written English with a pleasant, cheerful, and fun-loving personality who can be the face of the firm when receiving guests.
  • At least 3 years of working experience
  • Candidate must possess at least a College, Professional Diploma, or Advanced Higher Graduate Diploma, in any field.
  • Proficient in Microsoft Office applications such as MS Word, MS Excel, and Outlook.
  • Possess good organizational skills, ability to prioritize and demonstrate attention to detail, and is very meticulous in his/her work ethic.
  • Team player with good communication and interpersonal skills
  • Able to present himself/herself professionally to interact with guests & stakeholders at all levels. A mindset to learn and grow as opposed to a staid repeatable task-performing individual. Self-starter with initiative and drive to get things done.
  • Candidates with customer service/hospitality experience will be valued
