Job Title: Admin Executive

Job Overview:

We are looking for a detail-oriented and highly organized Admin Executive with expertise in Google Sheets and flowchart creation to support administrative operations in our HDPE pipe manufacturing company. The ideal candidate will be responsible for managing data in Google Sheets, preparing reports, creating flowcharts to streamline processes, and providing general administrative support to various departments. This role requires strong technical proficiency, an eye for detail, and the ability to visualize complex processes.

Key Responsibilities:

• Google Sheets Management & Reporting:
• Create, maintain, and update Google Sheets for tracking inventory, production schedules, orders, and other operational data.
• Generate reports using Google Sheets, ensuring accuracy and clarity in presenting data (e.g., monthly, quarterly reports).
• Use formulas, pivot tables, and data validation techniques to improve efficiency and reduce errors.
• Automate data workflows in Google Sheets to streamline repetitive tasks and improve data accuracy.

2. Flowchart Creation & Process Documentation:

• Design clear, informative flowcharts and diagrams to visualize business processes, workflows, and production procedures.
• Collaborate with different departments (e.g., production, inventory, logistics) to understand processes and create relevant flowcharts for operational improvement.
• Maintain up-to-date flowcharts to document any changes in company processes or production procedures.
• Ensure flowcharts are easy to understand for cross-functional teams and are used to train employees or improve process efficiency.

3. Inventory & Stock Management:

• Track and report on stock movements, production output, and order deliveries using Google Sheets.

4. Administrative Support:

• Handle general administrative tasks, including scheduling meetings, handling correspondence, and organizing office supplies.
• Maintain and organize employee records, attendance, and other HR-related documents.
• Assist in coordinating interdepartmental meetings, training sessions, and other company events.
• Write clear, concise, and professional emails for internal and external communication.
• Draft emails for a variety of purposes, including client communications, marketing promotions, customer service inquiries, vendor coordination, and internal updates.
• Customize email templates for specific situations while maintaining a consistent tone and brand voice.
• Ensure emails are error-free, properly formatted, and well-structured.

5. Data Entry & Reporting:

• Accurately enter operational data into Google Sheets and keep records up to date.
• Create and manage reports for senior management on key performance indicators (KPIs) such as production rates, sales, and inventory levels.

6. Vendor & Supplier Coordination:

• Track purchase orders, inventory levels, and supplier invoices in Google Sheets.

7. Compliance & Documentation:

• Ensure all documentation is organized and accessible to meet company policies and regulatory requirements.

8. Ad-hoc Tasks:

• Perform any other administrative tasks as assigned by management, such as assisting with employee training or organizing company events.

skills & Qualifications:

• Education: Bachelor's degree (English medium)
• Experience: Minimum 2 years of experience in an administrative role, preferably within a manufacturing or industrial environment.
• Technical Skills:
• Google Sheets Expertise: Strong knowledge of Google Sheets, including advanced formulas, pivot tables, data validation, and automation.
• Flowchart & Diagram Creation: Proficient in using flowchart tools (e.g., Google Drawings, Lucid chart, Microsoft Visio) to design professional process maps and diagrams.
• Basic knowledge of Microsoft Excel.
• Key Skills:
• Exceptional organizational skills and attention to detail.
• Strong written and verbal communication skills.
• Ability to collaborate effectively with cross-functional teams.
• Problem-solving abilities, with a focus on process optimization.
• Time management skills to prioritize multiple tasks efficiently.
• Other:
• Proactive in identifying areas for process improvement.
• Knowledge of HDPE pipe manufacturing processes is a plus but not required.

Working Conditions:

• Full-time position.
• Primarily office-based with some interaction with the production floor.

Salary Range : 20K To 25K CTC Per Month
