Key Responsibilities :
• Office Management :
• Ensure the office environment is well-maintained, organized, and meets health and safety standards.
• Oversee office supplies, equipment maintenance, and furniture arrangement.
• Coordinate office repairs and maintenance with relevant vendors.
• Manage and maintain an efficient filing system for both physical and electronic records.
• Administrative Support :
• Assist with daily administrative tasks including filing, scheduling, correspondence, and documentation.
• Arrange travel, accommodations, and itineraries for staff as needed.
• Coordinate internal and external meetings, including meeting room setup and catering arrangements.
• Manage calendars, schedule appointments, and meetings for senior management.
• Vendor & Asset Management :
• Manage relationships with vendors and service providers (IT support, office supplies, etc.).
• Ensure timely payment of office expenses and manage office budgets.
• Maintain an inventory of office supplies and equipment, and manage the procurement process.
• Employee Support :
• Assist employees with administrative requests, such as providing stationary, access cards, or equipment.
• Support onboarding activities by ensuring new employees have the necessary equipment, supplies, and workspace.
• Organize company events, team-building activities, and meetings.
• Communication :
• Serve as the point of contact for internal and external communications, including general office inquiries.
• Prepare and distribute memos, reports, and announcements as necessary.
• Coordinate with HR, IT, and other departments to ensure seamless office operations.
Required Skills :
• Strong organizational and multitasking skills.
• Excellent communication (written and verbal) and interpersonal skills.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to manage time efficiently and work under pressure.
• Problem-solving attitude and proactive approach to handling tasks.
Qualifications :
• Bachelor's degree in Business Administration or a related field preferred.
• 1 year of experience in office administration or executive support, preferably in an IT or tech-based environment.
• Experience working with vendors and managing office resources.
