Job Overview:
As an Administrative Officer at Airon Academy, you will play a crucial role in ensuring the smooth functioning of our institution. You will be responsible for managing various administrative tasks, including but not limited to scheduling classes, conducting in-class activities, fee collection, and certificate processing. The ideal candidate will be organized, detail-oriented, and possess excellent communication and interpersonal skills.
1. Fee Collection:
• The Admin Officer is responsible for collecting fees from students promptly and accurately.
• Ensure that all fee transactions are recorded in the academy's DSR.
• Provide receipts or payment confirmations to students for all fee transactions.
• Generate regular reports on fee collections and outstanding payments.
2. Class Scheduling:
• Coordinate with department heads or instructors to develop the class schedule for each semester or term.
• Ensure that classrooms or virtual meeting platforms are available and reserved for scheduled classes.
• Communicate the class schedule to students and instructors in a timely manner.
• Update the schedule as needed and communicate any changes to relevant parties.
3. Attendance Tracking:
• Maintain accurate records of student attendance for each class session.
• Monitor and follow up on student absences or tardiness.
• Provide attendance reports to instructors and department heads as required.
• Implement appropriate measures for tracking and documenting excused absences.
4. Exam Scheduling:
• Work with instructors and department heads to schedule exams at suitable times.
• Coordinate with facilities or IT support for exam logistics, including room reservations and technical requirements.
• Inform students of exam schedules well in advance and ensure clear instructions are provided.
• Collect and securely store exam papers or digital materials before and after each exam session.
5. Certificate Processing:
• Verify completion requirements for students eligible to receive certificates or diplomas.
• Prepare and distribute certificates or diplomas to qualifying students in a timely manner.
• Maintain records of certificate issuance and ensure accuracy and completeness.
• Respond to student inquiries regarding certificates and provide assistance as needed.
6. General Responsibilities:
• Respond promptly to inquiries from students, faculty, or other stakeholders regarding administrative matters.
• Maintain confidentiality and security of student records and sensitive information.
• Collaborate with other administrative staff members to ensure smooth operations of the academy.
• Stay updated on relevant policies, regulations, and procedures related to administrative tasks.
7. SOP Compliance and Review:
• Adhere strictly to this SOP in performing all duties related to fee collection, class scheduling, attendance tracking, exam scheduling, and certificate processing.
• Regularly review and update this SOP to reflect changes in procedures or requirements.
• Provide training and guidance to new staff members on SOP compliance and administrative procedures.
8. Communication:
• Maintain open communication channels with students, faculty, and other staff members to address any issues or concerns promptly.
• Utilize email, phone calls, or in-person meetings as appropriate for effective communication.
