Job Summary:
The Administrative Executive will support the management team by handling various administrative, clerical, and operational duties. This role involves coordinating office activities, managing communications, and ensuring efficient office functioning. The ideal candidate will be organized, proactive, and able to handle multiple responsibilities effectively.
Key Responsibilities:
• Office Administration
• Manage day-to-day office operations, including organizing and scheduling appointments, meetings, and events.
• Order office supplies, equipment, and oversee maintenance of office facilities.
• Coordinate with external vendors for office-related services and repairs.
• Documentation and Record Management
• Maintain and organize company records, files, and confidential information both electronically and physically.
• Prepare, review, and file various documents, reports, and presentations as needed.
• Communication and Correspondence
• Serve as the point of contact for internal and external communication, including phone calls, emails, and face-to-face inquiries.
• Draft, proofread, and distribute internal memos, emails, and other communications as directed.
• Facilitate clear and effective communication between departments and with clients as required.
• Scheduling and Event Coordination
• Organize and schedule meetings, including preparing agendas and arranging necessary resources and facilities.
• Coordinate travel arrangements for management and other employees, including booking flights, accommodations, and transportation.
• Assist in planning and organizing company events, conferences, and team-building activities.
• Financial Administration
• Process and track invoices, expense reports, and reimbursements in collaboration with the finance team.
• Manage petty cash and ensure accurate record-keeping of all financial transactions.
• Assist in budget tracking for administrative expenses and provide monthly expense reports to management.
• HR Support
• Coordinate onboarding activities for new employees, including preparing onboarding materials, setting up workstations, and conducting office tours.
• Maintain attendance and leave records in coordination with HR.
• Help organize employee engagement and wellness activities as directed.
• Operational Support
• Provide operational support to various departments as needed, such as data entry, preparing reports, and assisting with project management tasks.
• Conduct research and gather data as required for decision-making purposes.
• Continuous Improvement
• Identify and suggest improvements in administrative processes to enhance productivity.
• Stay updated with new office management tools and best practices.
Required Qualifications:
• Bachelor's degree in Business Administration or a related field.
• Proven experience (2-5 years) in a similar administrative or executive assistant role.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
• Strong written and verbal communication skills.
• Exceptional organizational and time-management abilities.
• Attention to detail and ability to handle confidential information with discretion.
