Job Description

The Administrative Incharge is responsible for overseeing and coordinating administrative activities to support the efficient functioning of the eye hospital. They will manage administrative staff, oversee facility maintenance, and ensure compliance with regulatory requirements while promoting a positive work environment.

Key Responsibilities:

1. Supervision of Administrative Staff:

- Oversee the work of administrative staff, including receptionists, secretaries, and clerical personnel.

- Assign tasks, monitor performance, and provide guidance and support as needed.

- Conduct regular performance evaluations and identify opportunities for training and development.

2. Facility Management:

- Coordinate facility maintenance, repairs, and upgrades to ensure a safe and comfortable environment for patients, visitors, and staff.

- Manage relationships with vendors and service providers, negotiating contracts and ensuring timely completion of work.

- Oversee security protocols and emergency preparedness procedures.

3. Financial Management:

- Assist in the development and monitoring of budgets for administrative expenses.

- Review financial reports and expenditures, identifying areas for cost savings or efficiency improvements.

- Ensure compliance with financial policies and procedures.

4. Regulatory Compliance:

- Stay informed about relevant regulations and accreditation standards affecting the operation of the eye hospital.

- Develop and implement policies and procedures to ensure compliance with regulatory requirements.

- Conduct regular audits and inspections to identify and address any compliance issues.

5. Patient and Visitor Services:

- Oversee the provision of quality customer service to patients, visitors, and other stakeholders.

- Address complaints or concerns in a timely and professional manner, seeking resolution and implementing improvements as needed.

- Coordinate special services or accommodations for patients as required.

6. Records Management:

- Ensure the accurate and secure maintenance of patient records, administrative files, and other documentation.

- Develop and implement protocols for record keeping, retrieval, and confidentiality.

- Coordinate with IT personnel to maintain electronic health records (EHR) systems and other technology platforms.

Qualifications:

- Bachelor's degree in business administration, healthcare management, or related field (Master's degree preferred).

- Previous experience in administrative management, preferably in a healthcare or hospital setting.

- Strong leadership and interpersonal skills, with the ability to motivate and inspire staff.

- Excellent organizational and time management abilities, with attention to detail.

- Knowledge of regulatory requirements and compliance standards in healthcare.

- Proficiency in computer applications, including Microsoft Office and electronic medical records (EMR) systems.

- Effective communication skills, both verbal and written.
