We are looking for an organized, efficient, and proactive
Admin Executive
with at least
2 years of experience
and strong
bargaining and negotiation skills
to join our team. The Admin Executive will be responsible for managing the day-to-day office operations, supervising office boys, handling vendor negotiations, and ensuring smooth administrative functions. The ideal candidate will have excellent communication skills, bargaining expertise for vendor management, and the ability to lead a small team effectively.
Key Responsibilities:
Vendor Management & Negotiation:
Negotiate pricing, terms, and delivery schedules with vendors to secure the best deals and cost-effective solutions for the organization.
Supervision of Office Boys:
Oversee the work and daily tasks of office boys (or other junior office staff), ensuring office cleanliness, proper maintenance, and support services are being provided efficiently.
Office Administration:
Manage the day-to-day administrative operations of the office, ensuring the environment is well-maintained and organized.
Document Management:
Maintain office records, files, and databases, ensuring that documents are organized, up-to-date, and easily accessible.
Communication Handling:
Answer phone calls, emails, and other correspondence, providing timely responses and redirecting inquiries to the appropriate departments.
Inventory & Supplies Management:
Monitor office supplies and inventory levels, reorder when necessary, and maintain relationships with suppliers.
Schedule Coordination:
Assist with scheduling meetings, appointments, and coordinating travel arrangements for staff.
Support to Departments:
Assist various departments in executing their day-to-day administrative tasks and provide general administrative support as required.
Meeting & Event Coordination:
Coordinate internal and external meetings, including booking rooms, arranging refreshments, and preparing materials.
Vendor Coordination:
Liaise with vendors for office supplies, equipment servicing, and other administrative needs.
Health & Safety Compliance:
Ensure office health and safety regulations are followed, and maintain cleanliness and organization of the office.
Report Preparation:
Assist in preparing reports and presentations for senior management or other teams.
Required Skills & Qualifications:
At least 2 years of experience
as an Admin Executive, Office Assistant, or in a similar administrative role.
Strong bargaining and negotiation skills
for vendor management and procurement.
Leadership skills
to supervise and manage office boys or junior office staff.
Strong organizational skills with the ability to manage multiple tasks effectively.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Attention to detail and the ability to maintain high levels of accuracy in documentation.
Ability to work independently as well as in a team.
Strong time management and multitasking abilities.
Basic understanding of office management and office procedures.
Preferred Qualifications:
A Bachelor's degree in Business Administration, Office Management, or a related field.
Prior experience in managing office supplies, inventory, or vendor relations is a plus.
