Key Responsibilities:
• Office Management: Oversee general office operations, ensuring the workspace is organized, stocked with necessary supplies, and maintains a clean and professional environment.
• Scheduling & Coordination: Manage calendars, schedule meetings, and coordinate appointments for team members, executives, or departments. Arrange and organize meetings, conference calls, and events.
• Communication Support: Serve as a point of contact for internal and external communications. Screen phone calls, respond to inquiries, and direct requests to the appropriate parties. Maintain clear and timely communication with staff, clients, and vendors.
• Documentation & Data Management: Assist with creating, editing, and maintaining documents, reports, presentations, and spreadsheets. Ensure all records are accurate, properly filed, and up to date.
• Travel Arrangements: Coordinate domestic and international travel arrangements, including flight bookings, accommodations, and transportation for staff.
• Event Planning: Assist with organizing company events, conferences, team-building activities, and other corporate functions.
• Financial Support: Help with basic financial tasks, such as invoice processing, expense tracking, and budgeting support.
• Project Assistance: Provide administrative support for various departmental projects, tracking timelines, deadlines, and deliverables. Assist with project logistics and task management.
• Compliance & Confidentiality: Ensure adherence to office policies and procedures. Handle sensitive information and maintain confidentiality at all times.
Qualifications:
• Education: Bachelor's degree in Business Administration, Office Management, or a related field preferred.
• Experience: Minimum of 2 years of experience in an administrative or coordinator role. Experience in a fast-paced, professional environment is highly desirable.
• Skills:
• Strong organizational and multitasking skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
• Excellent verbal and written communication skills.
• Ability to manage competing priorities and meet deadlines.
• Strong attention to detail and problem-solving abilities.
• Ability to work independently and as part of a team.
