Job Title - Admin & Compliance Operations Officer

Location - Jadcherla, India

Job model - WFO - 6 days working.

Key responsibilities

• Handle entire administration for office premises as well as ANH factory.
• Administrative support for Operations Manager & Regional and Global Management for Travel & Other logistics, Visa, additional assignments as delegated.
• Be the focal point for Administration & communication for all office related Services etc.
• Co-ordinate with legal consultant and govt departments to upkeep all licences and to meet all legal requirement as per the govt law / factory act.
• Responsible for maintaining all employee related documents and registers (FTE as well as Contract employees)
• To be a role model in term of Administration & communication and behaviour for employees and customers.
• Focal point within the organization as far as Security matters are concerned.
• To act on behalf of management in Security affairs and manage the Safety and Security for the office premisses.
• To manage all the third-party contractors in ANH factory and Statutory compliances for office as well as ANH factory.
• To assist the factory team for travel, logistics, events & create all purchase requisitions in SAP for office as well as ANH factory.
• To liase with all DSM entities and provide support in organizing conferences, internal meetings etc. as and when required, and to handle new hire onboarding process.
• To handle the complete invoice processing system in SAP for the office for all functions. Vendor management in SAP.
• To define the (multi) year plans, in compliance with corporate security requirements and relevant laws and regulations
• Security incident or irregularities reporting to site management without delay.
• Liaison with external relations (police, security organizations & all Govt departments ...etc).
• Be responsible for calendar management of the Management Team, requiring interaction with both internal and external executives and their assistants, to coordinate a variety of business and commercial meetings.
• Maintain the office housekeeping, discipline, time attendance and compliance of house rules.
• To handle internal as well as external communication with employees & customers
• Car Lease related admin work and coordinator between DSM and Service Provider.
• PR creation, GRN and invoice management for office
• Vendor development & Management for admin services
• Supervising Travel Desk, ensure that ticketing, hotel bookings, transportation etc are done in a cost-effective way, Guest management.
• Strictly comply with DSM SHE requirements and latest local SHE related laws and regulations and always ensure compliant SHE behaviour; to have proactive communication on SHE related issues within the company and with external partners; to keep all confidential HR documents and information safe and complete according to company policies.
• Arranging & Co-ordinating office events (external/internal), helping in the administrative part of onboarding-infrastructure set up, basic communication with stakeholders, printing job, courier.
• Managing cafeteria and ensure the food quality, hygiene etc.
• Supervising security, office boy and housekeeping personnel and third-party vendors

• Local language and English required, other languages a plus
• 5 to 7 years of experience in administration role in MNC or well recognized Indian manufacturing unit.
• Any Graduate / Post Graduate Diploma in HR preferred, with computer skills, preferably knowledge in operating SAP & should be good in MS office.
• Excellent communication and Inter-personal skills; Cross-cultural sensitivity; Strong results - orientation; concern for impact; Conceptual thinking and analytical skills.
• Strong communication & proactiveness.
• Be a point of contact for all employees with regards to their admin related issues.
