The role requires effective management of day-to-day administrative functions, documentation, and monitoring compliance requirements to mitigate risks and ensure smooth organizational operations.Key Responsibilities1. Administration Management

  • Oversee and manage all administrative activities to ensure the smooth running of the office.
  • Maintain and manage office supplies, vendor contracts, and inventory.
  • Supervise facility management, including maintenance, cleanliness, and security.
  • Coordinate and support organizational events, meetings, and travel arrangements.
  • Ensure proper filing and maintenance of administrative records and documentation.
2. Compliance Management
  • Ensure the organization complies with all applicable laws, regulations, and internal policies.
  • Maintain up-to-date knowledge of industry regulations and legal requirements.
  • Draft, review, and update company policies and procedures to align with compliance standards.
  • Monitor and report on compliance performance, identifying potential risks and areas for improvement.
  • Liaise with regulatory authorities and external auditors to ensure timely audits and inspections.
3. Documentation and Reporting
  • Maintain accurate records related to compliance, including licenses, certifications, and audits.
  • Prepare and submit periodic compliance reports to management and relevant authorities.
  • Ensure proper documentation of contracts, agreements, and other legal documents.
4. Risk Assessment and Mitigation
  • Identify compliance risks and develop strategies to mitigate them.
  • Conduct regular internal audits and inspections to assess adherence to company policies and procedures.
  • Provide recommendations for improving compliance and minimizing risks.
5. Employee Training and Awareness
  • Conduct training sessions to educate employees about company policies, compliance requirements, and regulatory updates.
  • Act as a point of contact for employees regarding compliance-related concerns or queries.
6. Vendor and Contract Management
  • Evaluate and manage vendor agreements to ensure compliance with organizational policies.
  • Negotiate and oversee contracts to ensure they align with compliance standards and deliverables.
Qualifications and SkillsEducation:
  • Bachelors degree in Business Administration, Law, Human Resources, or a related field (Masters degree preferred).
Experience:
  • 5+ years of experience in administration and compliance roles.
  • Experience in legal or regulatory compliance is an advantage.
