: Administrative Assistant
Position Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team. The successful candidate will perform a variety of administrative and clerical tasks to ensure the efficient and smooth day-to-day operation of our office.
Key Responsibilities:
• Office Management
• Greet visitors and direct them to the appropriate person or department.
• Answer, screen, and forward incoming phone calls.
• Maintain office supplies inventory and place orders as necessary.
• Manage incoming and outgoing mail and courier services.
Administrative Support:
• Schedule and coordinate meetings, appointments, and travel arrangements for executives and other team members.
• Prepare and distribute meeting agendas, minutes, and other relevant documents.
• Assist in the preparation of regularly scheduled reports and presentations.
• Develop and maintain a filing system, ensuring data accuracy and confidentiality.
• Manage and maintain records of the company's hardware and all property issued to employees.
• Streamline all administrative work responsibilities at SNITCH
Communication:
• Act as the point of contact for internal and external clients.
• Handle requests and queries from senior managers and other team members promptly and professionally.
• Draft, proofread, and edit correspondence, reports, and other documents basis requirements
Data Management:
• Maintain and update company databases and records.
• Enter and retrieve information from various software applications and systems.
Project Assistance:
• Assist in various projects and tasks as assigned by management.
• Coordinate with other departments to ensure project timelines and deliverables are met.
Qualifications:
• Education: High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus.
• Experience: Proven experience as an Administrative Assistant, Office Admin Assistant, or in another relevant administrative role.
• Skills:
• Proficiency in MS Office (MS Excel, MS Word, and MS PowerPoint, in particular).
• Excellent written and verbal communication skills.
• Strong organizational skills with the ability to multi-task.
• Attention to detail and problem-solving skills.
• Ability to work independently and as part of a team.
• Familiarity with office management procedures and basic accounting principles is an advantage.
• Professional demeanor and appearance.
• Friendly and positive attitude.
• Reliable and punctual.
• Ability to handle sensitive information with confidentiality.
Working Conditions:
• Full-time position.
• Typical office environment with standard working hours.
• Occasional overtime may be required to meet deadlines.
