:
As the Administrative Assistant to the CEO, you will play a crucial role in managing the daily activities of the CEO, ensuring effective communication, and coordinating with various teams to ensure tasks are completed on time. Your responsibilities will include managing emails, following up on pending work, preparing reports, and handling various administrative tasks.
Key Responsibilities:
Email Management:
• Monitor the CEO's email inbox, prioritize emails, and draft responses as needed.
• Ensure timely and professional communication with internal and external stakeholders.
• Filter and highlight urgent and important emails for the CEO's attention.
Follow-Up on Pending Work:
• Track and follow up on pending tasks and projects assigned by the CEO.
• Coordinate with various departments to gather updates and ensure deadlines are met.
• Maintain a task management system to keep track of all pending work.
Report Preparation:
• Prepare and update Excel reports, presentations, and other documents as required by the CEO.
• Collect and analyze data to generate insightful reports for executive decision-making.
• Ensure all reports are accurate, comprehensive, and delivered on time.
Calendar and Schedule Management:
• Manage the CEO's calendar, schedule meetings, and coordinate appointments.
• Ensure the CEO is well-prepared for meetings by providing necessary materials and information.
• Handle travel arrangements and itineraries for the CEO.
General Administrative Support:
• Handle incoming calls, correspondence, and other communications on behalf of the CEO.
• Organize and maintain the CEO's office and files, ensuring confidentiality and security.
• Assist with special projects and other duties as assigned by the CEO.
Key Performance Indicators (KPIs):
Email Response Time:
• Average time taken to respond to emails.
• Percentage of emails responded to within the set timeframe.
Task Follow-Up:
• Percentage of pending tasks followed up and completed on time.
• Accuracy and reliability of task tracking and management.
Report Quality and Timeliness:
• Accuracy and comprehensiveness of reports prepared.
• Timeliness in delivering reports and presentations.
Calendar Management:
• Efficiency in scheduling and managing the CEO's calendar.
• Percentage of meetings and appointments scheduled without conflicts.
Administrative Efficiency:
• Effectiveness in handling calls, correspondence, and general office management.
• Feedback from the CEO and other stakeholders on the quality of administrative support.
Performance Evaluation:
• Quarterly Reviews: Regular performance reviews will be conducted to assess progress against KPIs and set new targets.
• Feedback from CEO: Collect and analyze feedback from the CEO regarding the efficiency and effectiveness of support provided.
• Team Feedback: Gather input from team members on the effectiveness of follow-up and coordination.
• Personal Development: Evaluate the candidate's commitment to continuous learning and professional growth.
Qualifications:
• Bachelor's degree in Business Administration, Office Management, or a related field.
• Freshers with excellent English communications skills can apply
• Proficiency in Microsoft Office Suite, especially Excel and PowerPoint.
• Excellent organizational and time management skills.
• Strong written and verbal communication skills.
• Ability to handle sensitive information with confidentiality and discretion.
• High level of professionalism and attention to detail.
