Position Overview:
The Administrative Assistant in the Finance department will provide essential support to the finance team by performing various administrative duties. This role requires strong organizational skills, attention to detail, and the ability to handle confidential financial information with discretion.
Key Responsibilities:
• Administrative Support:
Assist the finance team with day-to-day administrative tasks such as scheduling meetings, managing calendars, and preparing reports.
Answer and direct phone calls, handle correspondence, and maintain filing systems for financial documents.
Prepare and process incoming and outgoing mail related to finance activities.
• Document Management:
Help maintain accurate financial records and documentation, including invoices, receipts, and other financial statements.
Assist with the preparation of financial reports, balance sheets, and other necessary documentation for audits or reviews.
• Data Entry & Financial Systems Support:
Input and update data into financial software and spreadsheets as required.
Help with the reconciliation of accounts, ensuring data accuracy and completeness.
Assist with the preparation of expense reports, invoices, and financial schedules.
• Procurement and Billing Support:
Coordinate with vendors and internal teams for processing payments and invoicing.
Help track expenses and assist with budget preparation as directed.
• Coordination & Communication:
Serve as a liaison between the finance team and other departments, ensuring smooth communication and prompt resolution of issues.
Coordinate logistics for finance meetings, including preparing agendas, taking minutes, and distributing necessary documents.
Qualifications:
• Education:
Bachelor's degree in finance, accounting, business administration, or a related field preferred.

• Skills:
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
Ability to handle sensitive and confidential information with discretion.
Attention to detail and accuracy in all tasks.
