Position Overview: We are seeking a highly skilled and detail-oriented Tender Executive and Administrator to join our team. This role involves preparing and submitting tenders, managing contract documentation, providing administrative support throughout the tender process, and overseeing the smooth operation of a coworking space. Key Responsibilities: Tender Preparation and Submission: Prepare, review, and submit government tenders, ensuring compliance with all relevant procedures and guidelines. Independently prepare and fill e-tenders without requiring guidance. Manage and prepare all contract documentation and schedules. Assist the project team in drafting techno-commercial offers. Document Management: Upload and submit documents (General/Technical/Commercial) on online platforms. Maintain accurate records and databases of all tender-related documents. Read, proofread, and understand technical documents to ensure accuracy and compliance. Liaison and Coordination: Liaise with government departments for vendor registration, approvals, and renewals. Handle correspondence related to EMD (Earnest Money Deposit) submissions, PBG (Performance Bank Guarantee) submissions, and EMD refunds. Cost Estimation and Specifications: Support the estimation of project costs, preparation of specifications, and bill of quantities. Provide advice on all contractual matters from the preparation of tenders to the final post-contract period. Administrative Support: Handle back office work and provide comprehensive administrative support. Create and maintain reports and documents related to the tender process. Use Microsoft Word competently to manage documentation and maintain a database. Oversee and manage administrative tasks to ensure smooth operations of the coworking space. Schedule and coordinate meetings, appointments, and events. Maintain and update member records and databases. Handle mail distribution and courier services. Housekeeping Supervision: Supervise housekeeping staff to ensure cleanliness and maintenance of the coworking space. Conduct regular inspections of the facilities to ensure high standards are met. Address any maintenance or repair issues promptly. Qualifications and Skills: Proven experience in preparing and submitting government tenders and e-tenders. Thorough understanding of tendering procedures, bidding, and submission processes. Excellent written and verbal communication skills. Strong attention to detail and the ability to proofread technical documents. Proficiency in Microsoft Word and database management. Strong organizational skills and the ability to manage multiple tasks simultaneously. Ability to work independently and without guidance. Experience in liaising with government departments and handling vendor registration and approvals. Preferred Qualifications: Bachelor\xe2\x80\x99s degree in Business Administration, Engineering, or a related field. Previous experience in a similar role within the public sector or a contracting company. Knowledge of project cost estimation and preparation of bill of quantities.
